Manage the
operations of DMCC Commodity Services such as orders, inventory, sales
electronic system and logistics support for Commodity Services Coin
Sales, memberships, tenders and trade events.
Follow up and coordinate receivables and payables.
Send out invitations and phone clients for information, RSVP to events and communicate new initiatives.
Maintain a department calendar of activities and follow-up with the relevant team members to coordinate meetings and events.
Take notes and draft letters / emails to communicate with team and customers.
Key Areas of Responsibility:
To support the processing of all service requests, payments and collections from customers
To process coin orders as received by customers and
maintain coin pricing and sales information; update website on daily
basis with gold coin prices
Weekly visit to coin distributors for inventory reporting
Support team events by taking accurate and professional
notes, maintaining an organized calendar and processing information
(contacts, client requests) into an organized database
When needed liaise with other departments to source
quotes, get approvals or confirmations on payments, purchasing orders
or other transactions
To provide administrative assistance such as maintenance
of filings, directors corporate card claims, claims preparation and
submission, hotel bookings arrangement of visa application and
collection, and required paper work
To support in maintaining clients records, “KYC”
details and compliance formalities organized and keep a proper file
management system in place
Coordinating and liaising with other departments such as
sales and marketing in arranging specific events and other related
activities as and when required.
To communicate with team and clients as needed to
provide assistance answering basic requests and general information
regarding DMCC and Commodity Services; make calls to confirm rsvp
attendance to events and follow up on specific requests
